We develop and maintain the following products (collectively, "Services"): School ERP, Parent Mobile App, Student Mobile App, Teacher Mobile App, CBT Online/Offline Examination Software, OMR Software, Typing Test Software, Question Extractor, and Custom Software Development.

This Privacy Policy describes how P Soft Tech collects, uses, stores, and discloses information about:

• Institutional Users — school administrators, principals, and IT staff who administer our software
• End Users — teachers, students, and parents who use our software at the direction of a licensed institution

2. Information We Collect

2.1 Information you provide directly

• Demo request forms: Name, institution name, email address, phone number, and product of interest
• Contact forms: Name, email address, and message content
• Account creation (institutional): Institution name, administrator name, email, phone, and billing details

2.2 Information collected through our software products

Our school management products process data on behalf of the institution. Data collected may include:

• Student data: Name, date of birth, admission number, class/section, attendance records, fee payment history, exam marks, and results
• Teacher/staff data: Name, employee ID, department, attendance, and assigned classes
• Parent data: Name, contact number, and email (as provided by the institution)
• Examination data: CBT responses, typing test scores, OMR answer entries, and result analytics

The institution is the data controller for all student, staff, and parent data. P Soft Tech acts as a data processor and processes this data only under the instruction of the institution.

2.3 Automatically collected information

• IP address, browser type and version, operating system
• Pages visited on our website, time spent, referring URL
• Device identifiers for mobile app usage analytics

3. How We Use Information

• To provide and operate our Services — including hosting, software functionality, and technical support
• To respond to demo and contact requests — we use submitted contact details to follow up on enquiries
• To process examination data — CBT responses, OMR results, and typing test scores are processed to generate reports for the institution
• To send transactional communications — software updates, maintenance notices, and support responses
• To improve our products — aggregated and anonymised usage data helps us prioritise development
• To comply with legal obligations — including requests from competent authorities under applicable Indian law

We do not use student or end-user data for advertising, profiling, or sale to third parties.

4. Data Storage & Security

All data processed through our cloud-hosted products is stored on servers located in India. Institutional clients who opt for on-premise deployment host data on their own infrastructure.

We implement the following security measures:

• TLS/HTTPS encryption for all data in transit
• AES-256 encryption for sensitive data at rest
• Role-based access controls limiting data access to authorised personnel
• Daily automated backups with point-in-time recovery
• Periodic security reviews and vulnerability assessments

No method of electronic transmission or storage is 100% secure. While we take commercially reasonable precautions, we cannot guarantee absolute security.

5. Data Sharing

We do not sell, rent, or trade your personal information. We may share information in the following limited circumstances:

• With the licensed institution: Student and staff data is accessible to authorised administrators at the institution that provided the data
• Service providers: We engage sub-processors (hosting providers, email delivery services, SMS gateways) who are contractually bound to process data only on our behalf
• Legal compliance: We may disclose data if required by a court order, government authority, or applicable Indian law (including the Information Technology Act, 2000)
• Business transfers: In the event of a merger, acquisition, or asset sale, data may be transferred to the successor entity, with prior notice to affected institutions

Our School ERP and related products are designed to be used within educational institutions. Student data — including data relating to minors — is processed at the direction of the institution (school/college), which is responsible for obtaining appropriate consents from parents or guardians under applicable law, including the Digital Personal Data Protection Act, 2023 (DPDPA).

P Soft Tech does not directly collect personal data from children through our public website. If you believe a minor has submitted personal data to us through our website without parental consent, please contact us at the address below and we will delete the data promptly.

8. Your Rights

Under applicable Indian law, including the Digital Personal Data Protection Act, 2023, you may have the right to:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of inaccurate personal data
• Erasure: Request deletion of your personal data, subject to legal retention obligations

9. Data Retention

• Demo and contact enquiries: Retained for 2 years from the date of submission, or until you request deletion
• Institutional data (cloud-hosted): Retained for the duration of the licence agreement, plus 90 days after termination to allow data export. Data is then permanently deleted unless legal obligations require otherwise
• Website analytics: Aggregated data retained for 12 months; no individual-level retention
• Examination results: Retained per the institution's data retention policy; P Soft Tech does not independently control retention for on-premise deployments

10. Third-Party Links

Our website may contain links to third-party websites (for example, app store listings, partner sites). This Privacy Policy does not apply to those third-party sites. We encourage you to review the privacy policies of any third-party services you access via links from our website.
