Our school management products process data on behalf of the institution. Data collected may include:
- Student data: Name, date of birth, admission number, class/section, attendance records, fee payment history, exam marks, and results
- Teacher/staff data: Name, employee ID, department, attendance, and assigned classes
- Parent data: Name, contact number, and email (as provided by the institution)
- Examination data: CBT responses, typing test scores, OMR answer entries, and result analytics
The institution is the data controller for all student, staff, and parent data. P Soft Tech acts as a data processor and processes this data only under the instruction of the institution.

- IP address, browser type and version, operating system
- Pages visited on our website, time spent, referring URL
- Device identifiers for mobile app usage analytics

- To provide and operate our Services — including hosting, software functionality, and technical support
- To respond to demo and contact requests — we use submitted contact details to follow up on enquiries
- To process examination data — CBT responses, OMR results, and typing test scores are processed to generate reports for the institution

All data processed through our cloud-hosted products is stored on servers located in India. Institutional clients who opt for on-premise deployment host data on their own infrastructure.

9. Data Retention
- Demo and contact enquiries: Retained for 2 years from the date of submission, or until you request deletion
- Institutional data (cloud-hosted): Retained for the duration of the licence agreement, plus 90 days after termination to allow data export. Data is then permanently deleted unless legal obligations require otherwise
- Website analytics: Aggregated data retained for 12 months; no individual-level retention
- Examination results: Retained per the institution's data retention policy; P Soft Tech does not independently control retention for on-premise deployments
